Their Collective General Membership Agreement
This General Membership Agreement ("Agreement") is between Their Collective ("The Collective") and the undersigned member ("The Member"). By purchasing a General Membership with Their Collective, you agree to the following terms and conditions.
Their Collective Overview
Their Collective is a Canadian social enterprise dedicated to improving the lives of 2SLGBTQIA+ and neurodivergent individuals through economic opportunities, educational workshops, and community-driven affordable mental health services. We empower individuals to explore their identities, share their experiences, and access support to thrive.
Membership Benefits
As a General Member of Their Collective, you will receive the following benefits:

Regular Updates: Stay informed with member-only updates as we create a national, queer-run social enterprise, utilizing the power of community and art.

Exclusive Discounts:

10% off all purchases of Their Collective merch on the Artisan Marketplace (excluding featured artists’ goods).

1st chance access to sales and limited stock items, 1 week prior to public access.

First offer and discounted tickets for ticketed events.

Participation in Key Decisions:

Vote on our yearly merch collection (themes, items, or colors).

Nominate or accept nomination for a “Member-at-Large” Board position. (Available to members who have had no contracts with Their Collective in the prior 12 months).

The number of Member-at-Large Board positions will be determined annually, 4 weeks prior to the Annual General Meeting. It will be calculated proportionally to the total number of general members in Their Collective.

Early Access to Opportunities:

1st offer to apply for contracts or jobs with Their Collective. Contracts and jobs are awarded based on relevant education, work experience, or lived experience. Jobs will be posted to the public only if no qualified members apply.

Member-Exclusive Events:

Opportunities to join virtual or in-person members-only events, fostering connection, sharing ideas, and community-building.
Membership Responsibilities
As a member of the Their Collective Mental Health Membership, you agree to uphold the following responsibilities to ensure that we foster a supportive, collaborative, and inclusive environment:

Engagement and Participation:
-
Actively participate in events, workshops, and other initiatives organized by Their Collective. This includes attending mental health support groups, workshops, and training sessions that align with your interests and expertise.

Engage in community activities, providing feedback and offering support to fellow members when appropriate. Your participation contributes to the growth and success of the collective.

Attendance at Meetings:

Annual General Meeting (AGM): All members may attend the Annual General Meeting (AGM), which will be held once per year. The AGM is a crucial event for discussing the progress of the organization, voting on key decisions, and electing board members. The date and time of the AGM will be communicated to all members at least 60 days in advance.

Special Membership Meetings: Special meetings may be called by the Board or by members of the collective. Any member can request a special meeting by submitting a written request to the Board, signed by at least 2 other members. A special meeting will be scheduled within 14 days of the request being approved.

Virtual Meetings: Meetings will be held virtually. Members are expected to attend a minimum of 2 meetings per year. If a member cannot attend a meeting, we request you notify the Board and may submit written feedback or questions for discussion.

Quorum for Decision-Making: A quorum of 50% of the voting members must be present (either in person or via proxy) for decisions to be made at any general or special meeting. Voting on important matters, such as changes to membership fees, bylaws, or leadership positions, will require a majority vote from the members present.

Respect for the Collective’s Values:

Uphold the values of inclusivity, respect, and compassion for all members, particularly in sensitive discussions about mental health. It is essential that all members feel safe, supported, and heard within the community. Discrimination, harassment, or harmful behavior will not be tolerated.

Follow all guidelines and best practices provided during meetings and events, including trauma-informed care practices, confidentiality, and respecting the privacy of other members.

Contribution to Collective Decision-Making:

At meetings, members are invited to provide feedback and suggestions to guide the collective's initiatives, particularly in areas that relate to mental health support, education, and advocacy.

Voting: As a member, you have the right to vote on key decisions during meetings, including the election of Board members, changes to membership structure, and important initiatives. All votes will be conducted in a fair and transparent manner.

Communication and Notification:

Keep your contact information up-to-date with Their Collective to receive important updates, meeting invitations, and membership information.

Respond promptly to communications regarding upcoming meetings, votes, or events to ensure active and informed participation.

Nomination and Election for Leadership Positions:
-
Members may nominate themselves or other members for leadership positions, such as the “Member-at-Large” Board position. These positions are for members who have not had a contract or business relationship with Their Collective in the previous 12 months.

Nominations for Board positions should be submitted in writing 30 days before the Annual General Meeting. Elected members will serve for a term of 1 year and can be re-elected at the following AGM.

Support and Accountability:

Provide peer support and contribute to the mental health and wellness of other members when/if attending support groups and workshop
Membership Fees
General Membership is available for a yearly fee. The membership fee supports the operational costs of Their Collective and shows positive intention of membership. Fee amounts are outlined below and are subject to annual review:

Yearly Membership Fee: $10 a year due at time of registration.
Membership Meetings

Participation: Members are encouraged to attend regular meetings held by Their Collective to discuss ongoing business, decision-making, and operational needs. These meetings may include discussions on membership changes, operational costs, and future directions for the organization.

Voting Rights: As a member, you have the right to vote on key decisions, including changes to operational costs, membership terms, and other important matters. Changes to membership fees require a majority vote from attending members, with a quorum of 75%.

Requests for Meetings: Any member can request a membership meeting with at least two weeks' notice, provided a minimum of two members agree to the request. Meeting dates will be scheduled by the Collective and communicated in advance.
Acknowledgment and Termination

Acknowledgment: By signing this Agreement, the Member acknowledges they have read, understood, and agree to its terms.

Termination: Either party may terminate this agreement at any time with written notice. Termination may occur due to non-payment of membership fees, failure to adhere to membership responsibilities, or by mutual consent. Upon termination, the Member’s access to benefits will cease immediately.
Purchase of a Membership is a statement of understanding and acceptance of benefits and responsibilities outlined above. You are also consenting to receive e-mails sent to Their Collective membership and Their Collective general newsletter.
